How do I pay my remaining balance?

When do I pay my remaining balance?
Your remaining balance must be paid at least a month before your event. Your remaining balance can be paid anytime up to the final month before due. We also allow pay in parts monthly or a plan that best suits you. 

 

Are my payments I have made refundable if I cancel my event?
Cancellations made 12 weeks prior to the event would result in a full refund minus the booking fee you paid when booking. Any cancellations after the 12 weeks would be fully chargeable. Your deposit is used for admin work such as writing up confirmation letters, holding and securing your date, & time spent communicating and working with you the client.

 

What happens if you (Bows & Magic Events and Hire) have to cancel the booking?
If unfortunately we have to cancel your booking because we cannot fulfil our duties due to sickness or unforeseen circumstances we will offer a full refund. 

 

Do you have equipment PAT tested?
Yes. Equipment is PAT tested by a qualified PAT tester, which is renewed every 12 months.

Do you have any Public Liability Insurances?
Yes, we have a license that covers up to £10 million pounds, which is renewed every 12 months.

Terms  & Conditions

1. Holding Dates
Bows & Magic Events and Hire does not hold any dates until the required full booking fee is paid. Once this has been paid your booking date will be confirmed.

2. Damage or stolen goods / Damage Deposit
In the event of any damage caused by your guests to equipment or materials provided by Bows & Magic Events and Hire, the booker shall be liable to pay in full for the repair or replacement cost of equipment and the hire of necessary equipment or materials during repair work until carried out.

We take a £50 refundable deposit alongside the non refundable £50 booking fee which upon the safe return of all equipment is refunded within 7 working days.

3. Stages & Large Stages
Bows & Magic Events and Hire classes large high up stages as a health and safety hazard. If we feel the stage at the venue is a health and safety hazard to us and your guests we can refuse to setup on the stage. Setting up in front on the stage will then be carried out.

4. Blacklisted Venues
Bows & Magic Events and Hire has the right to cancel a booking if we have worked in your booked venue in the past and staff members of the venue have given us violence or abuse during working. These venues are blacklisted for future bookings.

5. Venue Conditions & Limitations
If Bows & Magic Events and Hire arrives at a venue you the client has booked, and it is not suitable for installing equipment we can refuse to setup and no refund of full balance will be given. If installing electrical equipment such as starlit dance floors or lighting on wet floors we will refuse setup.

6. Venue Access
Bows & Magic Events and Hire requires safe access to the building whilst loading equipment into the venue. If we feel the access is unsafe we can refuse setup and no refund will be made.

7. Automatic Cancellation
If we try to contact you for a catch up before the booking date, client meeting or to pay remaining balance and after many tries over 2 week we have the right to cancel your booking and fee is not refundable. We try our very hardest to try to contact you by email, phone, text, social media. We do not send out letters by post. We do not run the risk of losing work due to clients not keeping in contact.

If you the client fails to update your contact details such as mobile or email and we cannot contact you we have the right to cancel your booking. Please keep your contact details up to date.

Your full balance must to paid at least a month before your event, if no payment is made Bows & Magic Events and Hire has the right to cancel your event without notice and take another booking.

8. Full Balance

10.  Starlit Dancefloors

Installing starlit dancefloors must be used for indoor use only or inside a professional marquee with boarded flooring. We will refuse to setup a starlit dance floor on grass or any outdoor uneven surface. If Bows & Magic Events and Hire arrives at venue with these limitations no refund of full balance will be given.

You and your guests must not spill any sort of liquid onto our starlit dance floors, this includes drinking and dancing. If you or one of your guests spill a drink onto the dancefloor and leaks in between a panel and causes a malfunction, spark, burn or at worse cause a fire Bows & Magic Events and Hire will not be held responsible for this issue. This also includes liquid spilling onto the dancefloor power supply. If any spillages/food or guests dancing and drinking on the dance floor you automatically forfeit your damage deposit and this will not be refunded.

11. Magic Mirror

The price is based on 100 guests and any over this amount would have been charged accordingly prior to your event. If upon arrival of the event, numbers are larger than that disclosed we reserve the right to close the Magic Mirror an no refund will be given. A £20.00 per hour idle time will be charged if for example you wish for the Mirror to be setup by 6pm but will not use it till 8pm. It may be necessary to undertake maintenance of the Mirror during the agreed hire period such as changing paper rolls or ink, this is assumed to be part of the agreed hire period. Periods of closure at the clients/venues request (such as meal service/speeches etc) are considered part of the hire period. In the event that we are unable to begin set-up on our arrival due to restrictions placed on us by the client or venue, hire will begin as soon as we are able to do so and will end at the normally agreed hire time. A refund will not be issued in these circumstances. All images, video clips, poses, settings and layouts remain the copyright property of Bows & Magic Events and Hire. We recommend allowing at least 3.m x 3.m space for your Mirror, where possible it would be helpful if we could have a small table available for us to use for props and guestbook (if included within your package). All guests under the age of 14 will require an adult to supervise their visits to the mirror at all times we reserve the right to refuse use of the Mirror until the supervising adult is with us. We will also close the Magic Mirror if any damage or violence or drunken behaviour is shown during the hire period, our staff safety is paramount.

12. 360 Booth

A £20.00 per hour idle time will be charged if for example you wish the 360 booth to be setup at 6pm but will not use it till 8pm. It may be necessary to undertake maintenance of the software during the agreed hire period. Periods of closure at the clients/venues request (such as meal service/speeches etc) are considered part of the hire period. In the event that we are unable to begin setup on our arrival due to restrictions placed on us by the client or venue, hire will begin as soon as we are able to do so and will end at the normally agreed time. All images, video clips, poses, settings and layouts remain the copyright property of Bows & Magic Events and Hire. We recommend allowing 3.m x 3.m space for your 360 booth. All guests under the age of 14 will require an adult to supervise their visits to the 360 platform at times we reserve the right to refuse use of the 360 booth until the supervising adult is with us. We will also close the 360 booth if any damage or violence or drunken behaviour is shown during the hire period, our staff safety is paramount.

12. Complaints

We deal with complaints very seriously. If you wish to file a complaint to us you can do by emailing bowsandmagic@hotmail.com  A member of staff will email you back within 7 working days. Please note, this is the only way we respond to complaints, and hopefully resolve your issue.

13. Terms & Conditions

Bows & Magic Events and Hire reserves the right to amend terms & conditions at any time and you the client agree to accept any update to them.

 

You the client automatically agrees to these booking terms once booking fee has been paid to Bows & Magic Events and Hire
